Weekly status report to your manager with ChatGPT
Updated: 2026-09-26
A weekly report is useful to your manager in one way: it tells them what they need to decide. Everything else is context. ChatGPT turns a raw list pulled from your tracker and calendar into a tight report in about ten minutes, ending with the decisions and your recommendation for each. The discipline is in what you delete, since a manager who has to hunt for the question stops reading reports.
Collect the raw list
Open your tracker and calendar and write down, as a rough list, what was done this week, what is planned next week and what is blocked. Include numbers wherever they exist: invoices processed, candidates interviewed, days left to a deadline. Then mark one or two items your manager needs to decide. If nothing needs a decision this week, say so; that is useful information too.
Keep client names and deal amounts as placeholders if you use a personal account.
The prompt
Role: you are an assistant who writes short reports with no filler. Context: my department is {{department}}, the week is {{dates}}. Done: {{list with results and numbers}}. Planned for next week: {{list}}. Blocked: {{what and why}}. Decisions needed from the manager: {{one or two}}. Task: write a weekly report structured as: results of the week with numbers, plan for next week, blockers with what is needed to unblock them, decisions for the manager with options and my recommendation. Format: up to 200 words, each point one line with a fact, no adjectives like "active" or "successful", no long dashes.
The decisions field makes the report work. "Approve overtime for the month-end close: option one, paid overtime for the close team; option two, move the deadline; I recommend option one" gets an answer in the reply. "We may need extra resources" gets a meeting.
Cut half of it
Read the draft and ask of each line: does my manager need this to decide something, or to know that a promised result arrived? If neither, delete it. Routine tasks that happen every week can go into a single line or disappear. Check every number and date against your tracker; the model occasionally carries a figure from one line to another.
Blockers need a specific ask. "Waiting on IT" is a complaint. "Need access to the payroll system by Wednesday; IT ticket is open, your approval would speed it up" is a blocker your manager can act on.
Keep a rhythm
Send the report on the same weekday at the same time. Managers start expecting it and read it; a report that arrives on different days gets skimmed. If you keep the prompt in a ChatGPT Project with last week's report attached, the model can also note what moved since then.
What to do
- Pull what was done, planned and blocked from your tracker and calendar into a raw list.
- Mark one or two items your manager needs to decide.
- Run the prompt with your department, dates and lists.
- Delete every line the manager does not need for a decision or a promised result.
- Check numbers and dates against the tracker.
- Send the report on the same weekday and time every week.
A good report
It reads in a minute, it lists the decisions you need, and your manager's replies are about those decisions rather than about statuses. When the replies start asking "where are we on X", the report is missing something they care about; add it next week.
Plans
The free plan is enough for a weekly report. Plus at 20 USD per month adds Projects and memory, handy for keeping the format and last week's report; Business at 25 USD per seat with annual billing keeps team data out of training by default. See ChatGPT pricing. If your team writes in Google Docs, compare ChatGPT with Gemini in Google Docs. The template is also saved on the weekly report prompt page.
FAQ
What should a weekly status report to a manager include?
Results of the week with numbers, the plan for next week, blockers with what is needed to unblock them, and one or two decisions for the manager with options and your recommendation.
How long should a weekly report be?
Up to 200 words, one line per point. It should read in a minute.
Why does ChatGPT make my report sound vague?
It adds phrases like "active work" and "successful progress". The prompt bans those adjectives and asks for a fact with a number or a date on every line.
