Turn a Word document into a presentation with Copilot

When the content already exists in a report, a memo or a proposal, building slides from scratch is wasted time. Copilot in PowerPoint turns a finished Word or PDF document into a presentation, adds speaker notes and applies the corporate template. In about 30 minutes you can go from document to a rehearsed deck. Most of that time goes into two checks the tool cannot do for you: that every number on a slide appears in the document, and that every title says something.

Start from the audience and the decision

Before generating anything, write down who will see the presentation and the one decision or action they should take afterwards. A management team deciding whether to approve a budget needs a different deck from the same report than a team being briefed on a new process. This sentence goes into your request and shapes which parts of the document make it onto slides.

Ask for conclusions in the titles

Open the document and ask Copilot for 8 to 12 slides with the main point in each title. In PowerPoint you can reference the file directly; the prompt below shows the structure that works, and it can also be used in a chat assistant to prepare an outline first:

A slide titled "Quarterly costs" says nothing. A slide titled "Logistics costs grew faster than sales for the second quarter running" tells the audience what to remember, and the points below it support it.

Check every number

Go through the slides with the document open. Copilot moves numbers selectively and may round them, and it occasionally adds a figure or an example that is not in the document at all, because it makes the slide read better. Any number you cannot find in the source comes off the slide.

Charts need special care. Copilot redraws charts from Excel tables as pictures with no link to the data. For a report, insert the chart from the source file by hand so it matches exactly and updates if the data changes.

Make it look like yours

Replace generated illustrations with your own charts and photos. Stock-style images of people shaking hands and invented logos make a client deck look careless. Apply the company template if Copilot did not pick it up, and cut the text to three points per slide. Slides crowded with text push the audience to read instead of listening.

Rehearse

Add speaker notes, or edit the ones Copilot generated, and rehearse the presentation aloud with a timer. If it runs long, cut slides, not the pace.

What to do

1. Define the audience and the one decision or action they should take.
2. Ask Copilot for 8 to 12 slides with a conclusion in each title.
3. Check that every number on the slides appears in the document.
4. Insert charts from the source file and replace generated illustrations.
5. Apply the company template and cut text to three points per slide.
6. Add speaker notes and rehearse aloud with a timer.

It fits the allotted time, every title is a conclusion, and all numbers match the document.
