Write a sales proposal with ChatGPT and a line-by-line estimate

A sales proposal gets read when the client recognizes their own problem in the first paragraph, and gets signed when the price feels adjustable rather than fixed. ChatGPT drafts a proposal around both ideas in about 30 minutes: it opens with the client's words, prices the work line by line, and ends with a next step and a date. Your job is to keep it honest, because the model likes to promise results you never discussed.

Use the client's words

Before writing anything, go back to your notes from the last conversation and find how the client described the problem. "Our accountants spend the first week of every month chasing documents" is better than any summary you write. Quote it. Clients skim proposals, and the first paragraph decides whether they keep reading; their own words are the fastest way to show you listened.

Build the estimate first

Price the work as separate lines: work block, volume, unit price, amount. Leave out the big grand total. A client who sees one large figure either accepts or walks away. A client who sees five lines can drop the one they do not need and see what the proposal costs without it, and that is a conversation you want to have. Every amount that appears anywhere in the text must be the sum of named lines; a reader with a calculator checks this in the first minute.

The client appears as [Client] in the chat, since prices and terms for a named client are a trade secret. Put the real name in your final copy.

Edit for promises

Read the draft looking only at claims. ChatGPT readily writes "you will reduce costs significantly" or "guaranteed results within the first month". If your estimate does not include it, delete it. Then check the amounts: every figure in the text should match a line or a sum of lines you can name. Finally, check that the next step has a date. "We look forward to hearing from you" leaves the next move to chance; "confirm the scope by Friday so we can start on the first of the month" is.

What to do

  1. Write down the client's problem in their own words from the last conversation.
  2. Build the estimate line by line: work block, volume, unit price, amount.
  3. Run the prompt with [Client] in place of the name.
  4. Check that every amount in the text is the sum of named lines.
  5. Remove benefits and guarantees you do not give.
  6. Lay the proposal out in your company template or Gamma.
  7. Send it with a clear next step and a date.
